The Work behind Closing Day

Settlement Is More Than Scheduling a Signing

A successful closing depends on many separate details coming together at the right time.

The agreement, title work, financing, payoffs, taxes, credits, commissions, insurance, documents, identification, funds, signing arrangements, and recording requirements must all be coordinated.

Your Home Closing serves as a central point of communication for the settlement portion of the transaction. We work with the authorized buyers, sellers, borrowers, agents, lenders, attorneys, accountants, municipalities, and other professionals involved.

We do not replace the responsibilities of those professionals. We help organize their approved information and instructions into a prepared closing.

The Settlement Roadmap

From File Opening through Post-Closing

The sequence varies, but most settlement files include these general stages.

01

Open the File

Receive the property, party, agreement, lender, professional, and expected closing information.

Early submission gives the team more time to prepare.
02

Review the Transaction

Review the available agreement, amendments, financing, title order, deposits, credits, and special conditions.

Contract interpretation may require an attorney.
03

Complete Title Work

Research ownership and recorded matters and identify applicable title and underwriting requirements.

Some title matters require additional documentation.
04

Gather Figures

Coordinate payoffs, taxes, deposits, credits, commissions, lender figures, fees, and adjustments.

Initial estimates may change before closing.
05

Prepare Documents

Assemble the approved settlement, title, transfer, lender, affidavit, and recording documents.

Names and signing capacity must be accurate.
06

Confirm Closing Details

Confirm the date, location, signers, identification, final funds, documents, and approved signing method.

Last-minute changes may require additional review.
07

Complete the Signing

Review and execute the applicable settlement, title, deed, mortgage, and loan documents.

Questions are addressed rather than rushed.
08

Fund, Disburse & Record

After authorization, disburse funds, submit recordable documents, and complete applicable post-closing work.

Signing and funding are not always the same event.

Final Settlement Figures

Many Sources Contribute to the Final Amounts

The settlement agent coordinates approved information but does not independently decide the transaction’s contract terms or loan terms.

Figures may come from the agreement, lender, agents, insurance providers, tax authorities, municipalities, creditors, homeowners associations, attorneys, and other authorized sources.

Amounts may continue changing as payoffs, taxes, credits, loan figures, invoices, and other transaction details are finalized.

01

Purchase price, loan proceeds, or refinance amount

02

Earnest-money deposits and other funds already paid

03

Mortgage, credit-line, judgment, and lien payoffs

04

Property taxes, transfer taxes, and municipal charges

05

Agent commissions and approved professional fees

06

Title, recording, lender, and settlement charges

07

Contractual credits, adjustments, and reimbursements

08

Buyer cash to close or seller net proceeds

Financed Residential Transactions

Working with the Lender and Closing Disclosure

The lender remains responsible for the loan, underwriting, loan terms, and applicable mortgage disclosures.

For covered transactions, the creditor must ensure that the borrower receives the Closing Disclosure within the applicable federal timeframe. A settlement agent may prepare portions of or deliver that disclosure under an arrangement with the creditor.

We coordinate the applicable settlement figures and transaction information requested by the lender while helping identify differences or missing information before the scheduled signing.

The Signing Appointment

A Closing Should Be Prepared before Everyone Sits Down

The signing appointment should be the result of careful coordination, not the first time important questions are discovered.

We work to confirm the required signers, documents, identification, funds, dates, and instructions before the appointment.

At the table, we explain the general purpose of the documents and give each signer time to review them. Questions requiring legal, tax, lending, insurance, or real estate advice are directed to the appropriate professional.

01

Confirm signer identity and authority

02

Review the general purpose of each document

03

Complete signatures, initials, and notarizations

04

Address questions or contact the proper professional

Bring Special Circumstances Forward Early

Additional Coordination Requires Additional Time

Unusual ownership, signing, lien, financing, or property circumstances should be disclosed when the file is opened.

The situation may require attorney involvement, lender approval, title-underwriter review, court documents, creditor cooperation, municipal information, tax guidance, or corrective instruments.

01

Estate or trust ownership

02

Corporation, partnership, or LLC ownership

03

Divorce, separation, or disputed ownership

Protect the Funds

Verify Every Financial Instruction

Criminals may impersonate title companies, buyers, sellers, lenders, agents, attorneys, creditors, or financial institutions.

Never

Rely only on an unexpected email or text changing wiring, payoff, proceeds, or contact information.

Always

Verify sensitive instructions by calling a previously confirmed telephone number.

Think funds were misdirected? Contact the financial institution and our office immediately using trusted contact information. Ask about recalling or freezing the transfer and report the suspected fraud promptly.

Settlement Questions

Understand What Happens before and after Signing

The actual process depends on the property, transaction, financing, parties, and closing instructions.

View All FAQs
What is settlement coordination?

Settlement coordination brings together the title, contract, lender, payoff, document, figure, fund, signing, disbursement, and recording information needed to complete the closing.

When should the settlement file be opened?

Open the file as soon as practical after the agreement is signed or the refinance process begins. Early submission provides more time to identify and address missing information.

Does the settlement agent decide the contract terms?

No. The settlement agent coordinates the approved contract and transaction information. Negotiations, contract changes, and legal interpretation should be handled by the parties and their appropriate professionals.

Who determines the loan terms?

The lender determines the loan terms, approval, underwriting conditions, mortgage disclosures, and funding requirements.

When will the final figures be available?

Final figures are prepared after the applicable loan, payoff, tax, credit, deposit, commission, insurance, fee, and adjustment information has been received and reviewed.

Does signing mean the transaction has funded?

Not necessarily. Funding may depend on lender authorization, document review, delivery of funds, applicable waiting or rescission periods, and other transaction conditions.

Can documents be signed remotely?

Possibly. Available arrangements depend on the transaction, documents, lender, title requirements, signer location, timing, and applicable notarization rules.

When are the deed and mortgage recorded?

Recordable documents are submitted after the applicable signing, funding, title, and transaction conditions have been satisfied. Recording timing varies by county and transaction.

Can the settlement agent give legal or tax advice?

No. We can explain the general settlement process and document purpose. Legal, tax, lending, insurance, accounting, or real estate advice should come from the appropriate qualified professional.
